Getting started
How does the free trial work?
You get seven days with everything in Pro: finance, sales, purchasing and inventory. The trial includes up to 2 seats, 2 business units and 10 GB of storage. There is nothing to install, you just sign up and start.
What should I set up first?
Start with your company and first business unit, then the chart of accounts, warehouses, products and contacts. Most teams begin with sales, purchasing and inventory and add the rest later.
Can I import my products, customers and opening balances?
Yes. There are spreadsheet import tools for master data, plus opening stock and opening-balance journals. Receivable and payable can start from a per-customer and per-supplier ageing list, so open invoices carry over.
Can we run the old system and ORBYS side by side?
Yes, that is the parallel-run approach. You import the latest data, work in both for a while, then cut over on a day you choose, for example a quiet Sunday. The import can be re-run with a fixed date while you test.
Do we have to use every module?
No. Each business unit can switch off the flows it does not run, such as quotations, pick lists, manufacturing or POS. The menus and routes for them disappear, so people only see what they use.
How do I add my team?
In the cloud you invite people by email. The invitation lasts 7 days, and they join your business units when they accept. On an on-premise install an admin creates users directly and they can sign in straight away.
Is there a shared file drive?
Yes. The file manager has folders with permissions, share links, previews, comments, approval and backups, and documents can be saved to it from a print.
Can I move my data from another system?
Yes. The import mapper matches your spreadsheet columns to ORBYS fields with a preview, and a guided migration plan lets you run both systems side by side first.
Pricing and plans
How is ORBYS priced?
Per seat, per month. Pro is $10 per seat and covers finance, sales, purchasing and inventory. Team is $20 per seat and covers every feature. Enterprise is a custom contract.
What is the difference between Pro and Team?
Team adds manufacturing and MRP, integrations, the API, advanced reports and a custom domain. It also raises the limits from 50 GB and 3 business units to 200 GB and 10.
What counts as a seat?
A seat is one user account. Pricing is per seat per month, so your bill follows how many people you give an account to. The free trial includes two.
What are the storage and business-unit limits?
Pro includes 50 GB and 3 business units. Team includes 200 GB and 10. Extra business units cost $8 (Pro) or $10 (Team) a month, and extra storage costs $0.10 per GB. Enterprise is unlimited.
What happens when the 7 days end?
You choose Pro or Team to carry on, or talk to us about Enterprise. The trial is the same product as Pro, so nothing changes in how it works.
What does Enterprise add?
Unlimited seats, business units and storage, single sign-on, dedicated support and a contract written around your company.
Is there a discount for paying yearly?
Yes. Pay yearly and you save 20%. Pro drops from $10 to $8 per seat per month and Team from $20 to $16, billed once a year. Use the Monthly / Yearly switch on the pricing page to see your exact total.
Selling
Does a quotation turn into an order by itself?
With one click. Accepting a quotation converts it into a sales order that carries the prices, terms and customer across. From there it goes on to picking, delivery and the invoice.
Which marketplaces connect?
Shopee and TikTok Shop, which also covers Tokopedia sellers as they move into TikTok Shop. Both are in beta. WhatsApp, Biteship shipping rates and Midtrans payments are planned.
How do marketplace orders reach my sales and stock?
The marketplace sends us an event when an order is placed. It lands in a channel orders list, is linked to a sales order, and your listings are mapped to your own products so stock lines up.
Can customers see their own documents?
Yes. You can generate a portal code for a contact, and they can look at their own quotations, invoices and deliveries.
Can I take a deposit before delivery?
Yes. Sales down payments are recorded when the customer pays upfront and are applied against the final invoice. Purchasing has the same for supplier deposits.
Can I pay commissions to salespeople and dealers?
Yes. Commission rules calculate what each salesperson or intermediary has earned, and payments are recorded against it.
How do I sell something I do not stock (drop-ship)?
Link a purchase order to the sales order. A guided stepper walks the order through the supplier purchase, the supplier bill and your invoice to the customer, so you keep the margin without handling the goods.
How do returns and credit notes work?
A sales return puts the goods back into stock and a credit note reduces what the customer owes. On the buying side, purchase returns and debit notes do the same for suppliers.
Which marketplaces and payments connect?
Shopee, TikTok Shop and Lazada for orders, Midtrans for online payments and WhatsApp Cloud for messages. Other systems can connect through the API and webhooks.
Stock and warehouse
How do pick lists work?
A pick list reserves the stock for an order. The picker confirms with one tap, or scans the barcode or RFID tag. Confirming never creates a shortage, and the delivery order then ships what was picked.
Can we track fabric by the roll, or items one by one?
Yes. Tags can be attached per roll or per item and are scanned when picked or moved, so you know which roll went to which order.
What RFID hardware and apps are there?
The RFID app is native, built on the Zebra SDK for Android and a separate native app for iOS. The Android app can be downloaded from Settings, in the Downloads page.
How is inventory valued?
At weighted-average cost, which updates as you receive goods and complete production. Valuation ties back to the ledger.
How is minimum stock worked out?
From real supplier lead time, safety stock and demand. The planning sync writes the minimum as the reorder point, so low-stock alerts reflect how long a supplier actually takes.
How do we count stock?
With a stock opname. You count the shelf, the differences show up, and posting the adjustment creates its journal at the same time.
Can we move stock between warehouses and locations?
Yes. Stock transfers move goods between warehouses, relocations move them within one, and put-away tasks direct received goods to the right location.
Making and planning
Does it support outsourced production (makloon)?
Yes. You send material to an outside processor with a delivery document (surat jalan), then receive the finished work back. An outsourced receipt log shows what is still at the processor.
What happens when a production order is short of material?
The manufacturing order checks what is on the shelf before it starts. For anything missing it can generate a purchase requisition, so the gap goes straight into purchasing.
Can a product go through several steps and workstations?
Yes. A product process defines the steps, each work order runs on a workstation, and material moves to it through pick, deliver and receive transfers that are all recorded.
How is the cost of a product calculated?
Material, labour and other production cost are rolled up when the order is completed, and the journal is posted when the cost is consolidated.
Does it forecast demand?
Yes. A statistical forecast is built from sales history, with suggestions to clean up odd data. MRP then turns it into planned orders you can review and convert.
Can I build my own automations?
Yes. The workflow builder lets you design automations visually, starting from a template or from the AI copilot.
Is there an AI assistant?
Yes. You can ask it to find a page, open a report or look something up, and it works inside your own permissions. It also reads receipts and supplier documents into fields you can check.
Is the workflow builder like n8n or Zapier?
It works in the same way: triggers, conditions, loops and actions on a canvas. The difference is that it can start from your ERP events, such as a confirmed order or low stock. It also connects to Slack, Teams, Gmail, Google Sheets and Stripe, and has an AI copilot.
Money and tax
Do I have to post journals myself?
No. Invoices, receipts, deliveries, stock adjustments, production and payroll all post their own journals. You review and close instead of typing entries twice.
How does month-end closing work?
You close a financial period and it locks, then balances carry forward. Account closing and period management are separate screens, so you can keep a strict close if you need one.
Does it handle Indonesian PPh withholding?
Yes. Sales and purchase documents have PPh withholding lines, and there is a tax management screen in accounting.
Can I buy and sell in other currencies?
Yes. You can raise a purchase order in another currency, such as RMB, and pay it in that currency, with the books kept in your own.
Does it manage fixed assets?
Yes. Assets are registered by category, depreciated on a schedule that posts to the ledger, and disposals record the gain or loss.
Can I see profit by department, project or unit?
Yes. Cost centers and profit centers let you see results by department or project, and each business unit keeps its own books.
How are cash, bank and giro handled?
Cash and bank accounts are managed in one place, bank accounts can be verified, and giro and transfer clearing is handled as settlement batches.
Can I build my own report?
Yes. The custom report builder lets you choose the data, columns, filters and grouping, then save and share it. There are also ready reports for finance, tax, sales, stock and people.
People and devices
Which attendance devices connect?
Fingerspot fingerprint terminals are live, either on your local network or through the Fingerspot cloud. ZKTeco, Hikvision and Suprema are planned.
How does payroll use attendance?
Attendance feeds shifts, overtime rules and leave. A pay period then turns them into pay slips, with loan installments deducted and the journal posted.
Is there a mobile app?
There are two companion apps: the RFID scanning app (Android and iOS) and a Messenger app for chat and video built in Flutter. The admin web app also works in a phone browser.
Can my team chat inside the system?
Yes. Messaging and notifications are built in, with video calls, and the Messenger app uses the same service.
Hosting and security
Where can ORBYS run?
In our cloud, on your own server (on-premise), or on a private VPS dedicated to you.
Is my data separate from other companies?
In the cloud every company is isolated by tenant, so one company never sees another. On-premise and private VPS installations hold only your data.
How is sign-in protected?
Access is controlled by roles and permissions. Two-factor authentication is available, and admins can restrict sign-in by IP address and set an idle-session timeout. Sign-in attempts are rate-limited.
Can other systems connect through an API?
Yes. There is a token-authenticated API, which is included with the Team plan.
Which languages does it speak?
The interface is available in English, Bahasa Indonesia, Spanish and Chinese.
Can we print our own document layouts?
Yes. Document templates let you design invoices, delivery notes and other prints. Prints are always light and ink-saving, whatever theme you use on screen.
Can we work without internet?
An on-premise installation works on your local network, with no internet needed for day-to-day use.
Does it have two-factor authentication?
Yes. Users can turn on two-factor authentication with an authenticator app and keep backup codes. Admins can also restrict sign-in by IP address.
